In conjunction with the Vice Principal and curriculum leaders model and construct a workable and efficient timetable supporting whole school requirements using NovaT6 (SIMS) software.
Monitor and review provision in liaison with the Vice Principal and curriculum leaders to ensure that the timetable supports the academic needs of all students.
Ensure timetable construction is fully integrated with other school management systems to ensure maximum cohesion and effectiveness.
Consider current and future curriculum provision in relation to timetable implications.
Undertake ongoing relevant training and attend SIMS user group meetings to ensure a fully integrated whole school student/staff timetable. Use Academic Manager to ensure accurate timely record changes in support of accurate report production.
Ensuring effective and timely communication with curriculum leaders, on all issues relating to timetabling.
Using Assessment Manager (SIMS) & 4MATRIX software, maintain and further develop the collation, recording, reporting and analysis of student performance data, providing such analysis in appropriate formats as required by the Vice Principal and Leadership Team.
To maintain and further develop efficient systems providing, transparency and integration with the Exams Officer to streamline data provision in support of learning & teaching.
To provide support for the examinations function which will include contributing to the operational day to day requirements of the Exams Office.
In conjunction with the Exams Officer to ensure all legislative and procedural changes advised from examination boards are implemented in a prompt and efficient manner.
To support the continuity of provision in the absence of the Examinations Officer.
Preparation of the school timetable using SIMS, NOVA T6/T4 & OPTIONS software applications and working to curriculum costing and design as directed by SLT.
Daily programming of: SIMS, ASESSMENT MANAGER, EXAMS ORGANISER, CURRICULUM MANAGER. Microsoft EXCEL, WORD & POWERPOINT.
Input and publication of staff and student timetables (using curriculum Manager).
Maintain the school & sixth form timetable by ensuring that amendments are continuously up to date.
Liaison with cover/absence manager regarding timetable issues.
Liaison with curriculum team leaders regarding student groupings and departmental timetable design, and to oversee the accurate and timely input of such data.
Maintaining an accurate register of each student at KS3 and KS4 and the external examination for which they will be entered and their minimum school (based on prior achievement and FFT estimates). Monitoring attainment and providing analysis of student progress and achievement, using Assessment Manager to support SLT, Progress leaders, Faculty Co-ordinators and departmental staff.
Developing and keeping up to date intervention lists.
Monitoring the attainment of key groups of students via sims.net (e.g. SEN, Gifted and Talented, EAL, Looked after students, boys, girls, ethnicity).
Providing up to date and accurate information to CLT, Progress Leaders, Faculty Co-ordinators and relevant staff, each term for each year group as directed.
Setting future targets, with governors, SLT and relevant staff.
Production of the School Census & Workforce Census.
Attendance reporting to the LEA & SLT.
Management on a day to day basis of the collection, storage and distribution of electronic data.
Housekeeping of the above database to ensure all data is clean and available to other users
Provide telephone helpdesk advice relating to the Management Information Systems (MIS) in the Children & Young People’s Service (C&YPS) and schools. This will occasionally include on-site visits.
Maintain the MIS Team call-logging database and other record-keeping systems
Undertake relevant training associated with the Management Information Systems.
Liaise with colleagues in schools and all departments in the C&YPS regarding their data requirements and associated training requirements.
Advise and deliver training as required.
Attend courses, conferences and meetings as requested by MIS Manager including own personal professional development
Provide support to outside agencies and contractors as required by MIS Manager
Maintain the strictest confidentiality regarding all data held in the central and other databases held within educational establishments, C&YP, other Council Directorates and the National Pupil Database
Manage own duties in consultation with MIS Manager
Prepare support documents for staff in educational establishments (inc. schools) and Officers
Provide input into the Admin User Groups and presentations to schools as requested by MIS Manager
Input data directly into the database and/or work in collaboration with the MIS Team to prepare electronic data imports to and exports from the central database.
•To have detailed & up to date knowledge of the wide range of issues involved in the administration of internal & external examinations; in particular exam board regulations & deadlines.
•To implement & review procedures, make improvements & to advise Management Information Systems Manager on suggested improvement, potential problems.
•To attend examination board training & updating meetings as necessary.
•To deal with FOVUS with regard to examination software.
•To research & provide information regarding examinations to teaching staff as required. Distribute subject specific information to staff on receipt from boards.
•To draught correspondence for Leadership Group signatures on matters pertaining to external examinations.
•To complete QCA & MIDYIS returns & FOVUS
•To enter & maintain spreadsheets containing student assessment data.
Entries and Administration
•To keep up to date lists of syllabuses offerred, be aware of changes in the pipeline & provide estimates of entries to boards.
•To work closely with Heads of Faculty & Subject Leaders to ensure accurate entries are meda in good time.
•To work closely with Senior Tutors to identify with possible problems regarding external examinations & take necessary action promptly.
•To facilitate & co-ordinate the despatch of coursework & estimated grades by the examination board deadlines.
•To draw up examination timetables & oversee the running of internal & external examinations including co-ordination of invigilations, production of seating plans, rooming, room set up, receipt of exam papers & dispatch of scripts.
•To administer the EDI of external exam entries & results.
•To be familiar with procedures relating to exams & deal with individual students/parents regarding conduct & special considerations / arrangements.
•To keep accurate records & take necessary action on matters such as resits & aggregation of grades.
•To assist the Assessment Manager by giving support for the systems associated with analysis
